Overview
Plagiarism undermines academic integrity and the trust essential to theological formation. Institutions should treat plagiarism as an academic misconduct issue that requires clear prevention measures, fair investigation procedures, proportionate sanctions, and educational remediation. Policies should be published, consistently applied, and aligned with institutional values and applicable law.
Prevent: policy, training and assessment design
Create a written academic integrity policy that defines plagiarism (including self-plagiarism and improper collaboration), describes reporting routes, explains potential sanctions, and describes appeals. Make the policy easily accessible to students and staff.
Provide ongoing training for students and faculty on citation practices, paraphrasing, note-taking and use of referencing tools. Embed integrity into assessment design: require drafts, reflections, oral components, supervised assessments, and varied assignment types to reduce opportunities for concealment.
Detect: good practice and tools
Use a combination of academic judgement, assessment scaffolding, and text-matching tools to identify potential plagiarism. Text-matching software can highlight similarities but does not determine intent; an academic review is always required. Keep reports and original submissions as part of the investigatory record.
Investigate: fair procedures
Adopt a staged, documented investigation process: initial review by the assessor or academic lead; notification to the student with evidence; an opportunity for the student to respond; and deliberation by an impartial panel where appropriate. Ensure confidentiality, observe natural justice (right to respond and appeal), and record all steps and outcomes.
Sanctions and remediation
Apply sanctions proportionate to the severity and intent: from resubmission with guidance, reduced grade, failure of the piece, to course failure or suspension for major or repeated breaches. Prioritise learning outcomes by combining sanctions with mandatory academic integrity training, supervised rewrite, or mentoring.
Record-keeping, transparency and appeals
Maintain a central register of confirmed academic misconduct cases to identify repeat offenders and monitor sanctions. Publish anonymised statistics and periodic reviews of policy effectiveness. Provide a clear, time-bound appeals process that is independent of the original decision-maker.
Protecting students and legal compliance
Follow data-protection and privacy law when handling submissions and investigation materials. Ensure any disciplinary action complies with employment and consumer-protection law where relevant, and that decisions are defensible, proportionate and documented. Institutions remain responsible for meeting all local legal and regulatory obligations regarding student rights and higher-education practice.
Practical checklist
- Publish an academic integrity policy with definitions, sanctions and appeals.
- Require academic integrity induction for all students and staff.
- Design assessments to reduce opportunities for misconduct.
- Use text-matching tools as an investigative aid, not as sole evidence.
- Ensure documented, fair investigatory procedures with right to respond and appeal.
- Record outcomes centrally and provide remediation where appropriate.
- Review policy and training annually.
Frequently asked questions
Is use of text-matching software alone sufficient to prove misconduct?
No. Such tools identify similarities; institutions must review context, citation, and intent before concluding misconduct.
Should first offences always lead to suspension?
No. Sanctions should be proportionate; many first offences are best addressed with education and corrective measures unless there is clear malicious intent or significant academic gain.
Plagiarism detection software proves guilt.
Text-matching tools are investigative aids. Academic judgement and a documented process are required to determine intent and sanction appropriately.
ITAA accreditation removes the need to comply with local law.
Institutions must comply with all applicable laws; ITAA accreditation does not replace regulatory or legal obligations.
ITAA’s role
The International Theological Accreditation Association supports institutions to develop robust academic policies and good-practice systems for handling plagiarism, but does not replace local regulatory or legal requirements. ITAA provides independent theological accreditation and evaluates institutional quality assurance systems; institutions remain responsible for legal compliance and for the lawful issuance of qualifications. For full legal and accreditation information, consult the Important Accreditation Information page.
